The MABE Volunteers Tab
If you click on the Volunteers Tab within MABE, you will come to a listing of all of the volunteers in your program’s database. The active check box at the top of the volunteer page is selected by default. If you want to see all volunteers in the database, then deselect this box.

The volunteer listing allows you to search by last name, first name, or badge ID. This is a reactive search, so the visible listing of volunteers will narrow as you type in information.

    To create a new volunteer record, click on the Add New Volunteer button at the bottom of the volunteer page. You will have the opportunity to fill out basic personal information for the new volunteer. You can also enter their scheduling and service preferences.

    You should always search to be sure that the volunteer is not already in the database before entering them. You cannot delete volunteers.

    • A Title is not necessary.
    • For State Staff type, use the description that best matches their job duties. Go here to see these descriptions. 
    • A Program is necessary for the annual Volunteer Report if the volunteer is in a classroom. Choose the program that the volunteer most often serves: ABE, GED, or ESL.
    • Enter a Start Date if you wish to track this information.
    • Enter Hours before 5/1/2007 if you wish to track lifetime hours.
    • Check the appropriate boxes for completed training.
    • On-hold is used for internal programmatic tracking of volunteers that are still with the program, but not currently placed.

    Click on Save to finish creating the record.

    Editing or De-activating a Volunteer - Admin or Higher Access

    To edit or de-activate a volunteer, follow these steps:

    • Click on their name to enter their record.
    • Next, click on Edit within the record.
    • Make make your chosen alterations to the record and click Save.

    Adding a Volunteer to a Class - Editor or Higher Access

    To add a volunteer to a class, follow these steps:

    • Go to the class tab and double-click on the class to which you want to add volunteers.
    • Click on Edit.
    • Click on names from the spinner to the left of the Additional Staff window.
    • If you make a mistake, click on the name to be removed in the Additional Staff window.
    • Save.

    The volunteer will now be listed on all class attendance sheets.

    Removing a Volunteer from a Class - Editor or Higher Access

    To remove a volunteer from a class, follow these steps:

    • Go to the class tab and double-click on the class to which you want to add volunteers.
    • Click on Edit.
    • Click on names of volunteers that you wish to remove from the class within the Additional Assigned Staff window. This will remove them from the class.
    • If you make a mistake, click on the name to be returned under the Eligible Staff window.
    • Save.

    The volunteer will now no longer be listed on this class' attendance sheets.

    Entering Volunteer Instructional Hours - All Users

    After a volunteer has been added to a class, they will show up on that class' attendance sheets. Take volunteer instructional attendance in the same manner that you would take student attentance.

    Entering Non-instructional Volunteer Hours - Admin or Higher Access

    To add non-instructional hours follow these steps:

    • Click on the volunteer's name under the volunteer tab.
    • Click on Volunteer Time.
    • Click on Add New Contact.
    • Choose a class (optional).
    • Choose the Contact Type: Prep, Admin, Training...
    • Enter an date, entry time ,and exit time.
    • Click Save.

    It is recommended that you enter non-instructional hours on a monthly basis unless you have a reason to track them daily.

    Creating Internal Volunteer Messages - All Users

    If you wish to create messages about volunteers that all users can see, then use this feature.

    • To create a message, follow these steps:
    • Click on the volunteers name under the Volunteers Tab.
    • Click on Messages.
    • Click on Add New Message.
    • Type in the message and click Save.
